PRESENTATION OUTLINE

Project Management

for Libraries

My History with Project Management

Franklin Covey course

Met with project managers, decided to get certified.

Fall 2015 - started reading the PMBOK guide

Passed test in March, am now certified.

I see how this evolves into many aspects of libraries

Today you will learn

All the facets of project management - things to think about going forward

Mapping these to library work, even if they are not "projects" per se

Don't worry - there is no test at the end. If it seems confusing or overwhelming or unrealistic, that's ok.

Projects and Organizations

Projectized (no home)

Functional (areas)

Matrix (mix - project people in a functional area, vice versa)

Process Groups

  • Initiating (kicking things off)
  • Planning (planning all aspects of the project)
  • Executing (doing the work)
  • Monitoring and Controlling (measuring success, making changes)
  • Closing (ending the project/phase, lessons learned)
All tasks associated with project management fall within one of these process groups.

Plan!

Each knowledge area has a planning component - you plan out each part of the area before breaking it down into the work, measuring, etc.

Integration

  • Charter
  • Project Management Plan
  • Direct and Manage Work
  • Monitor and Control Work
  • Close Project (or phase)
this sounds similar to the process groups, but these are the actions that infiltrate into each part of project management at a high level. Thus, it integrates. It is also descriptive of the bulk of the project managers' work

Scope

  • Requirements
  • Define
  • WBS
  • Validate!
Validate - formally accepting the deliverables.

Time

  • Activities
  • Estimate
  • Schedule!
  • Control Schedule
Activities - define and sequence

Estimate resources, and durations

Control schedule - formulas for variance - how much does it variate from the baseline, from what you planned?

Cost

  • Estimate
  • Determine Budget
  • Control Costs

Quality

  • What is quality?
  • Assurance (work)
  • Control (deliverables)
Baselines - Scope, Time, Cost (budget) - measuring against these

How close does the project fulfill the requirements?

Performing quality assurance is about the work, NOT the deliverables!

Human Resources

  • Acquire Team
  • Develop Team
  • Manage Team
