Data-based Decision Making

  • Data, Broadly
  • The Framework of a System
  • Qualtrics Concepts
  • Working with Results
Here is what we will cover today

If there is time, I will demo

Take-Aways

  • A specific technique, tip, trick, or tool you can start using today
  • A broader framework on which you can build a system for collecting, tracking, and reporting on data
1. Excel formulas I use every day which change my life

2. There are others, but Qualtrics is not the only place for a framework, it is a good one we all have access to, and delivers a comprehensive solution for most needs.

Disclaimers

  • I am not a Qualtrics fanboy
  • Approaches surmount tools
  • I won't have time to share & discuss everything I want to, so join me on SLACK
  • uw-data.slack.com/signup
Disclaimers:

-This is a first attempt at delivering a framework using Qualtrics to build a data tracking system

-Not officially supported tools, services, or techniques

-While I would like this to be more of a conversation, I tend to talk long - so, stop me!

Data, Broadly

There is a task,
or process
in which you regularly engage
that could be improved
using data
and some technology, service,
or tool to which you already
have access

The Philosophy

Believing this to be true even when it is not will lead to innovation

It is an endless pursuit for a better solution

Skills & Experience from 1 to 5

This is an excel campus - no doubt

Your Priorities

I have some great tips for you!

Qualtrics Experience

Oh, man! I have got something I need to show you...

Interest in Qualtrics features

We are in the mid-west for sure, where is the apathy: "not interested"

Me & Data

  • The more the merrier
  • Data should have an open invitation to the decision-making table
  • Collect data in bits, store it in bulk, & use it to tell a story
-Easier to ignore information you don't need than look for information you don't have

-Export everything always

-Data is often used to tell a story

-Data is a powerful tool that gets things done

The Framework

A Data Tracking System Using Qualtrics

Template - take a minute to fill in yours

But, I  Excel; why not just use Excel?

  • Collaboration is a challenge
  • More sheets, more problems
  • See attached file :-/
  • You can always export, excel is here to stay
I know, I love excel too. But...

-Collection of data from various stakeholders

-Worksheets and files can get out of hand and disorganized, making your data difficult to work with

-Sharing data is restricted

-Excel is more like an engaging game of solitaire than a team sport

Here is my example using Professional Master's Students in CS

Qualtrics Concepts

into the woods
If you are going to try this, there are some concepts you will need to master

Core Concepts

  • Contacts
  • Embedded Data & URL Parameters
  • Authentication
  • Data Mapping
  • Triggers
Contacts
"Contacts" are not just for distribution, they provide a home for your data

Embedded Data / URL Parameters
Embedded data and URL parameters are friends

Authentication
Authentication keeps data organized

Data Mapping
Data mapping saves you time

Triggers
Triggers make you look smart and invested

Contacts

  • All your data lives here
  • 3 required fields for each record
  • Set up fields for all the data you plan to collect (.csv import)
  • Export contacts for the "Recipient ID" aka "primary key" field created by qualtrics
Home for all your data

The contacts feature is what keeps us organized and simplifies our many points to data collection

Embedded Data & URL Parameters

  • Data from contacts or URL carried into the survey
  • Parameters appear at the end of a URL, and can include a contact's "Recipient ID"
Embedded data can be displayed or hidden in the survey

You can actually authenticate a survey with a URL parameter

URL parameters allow you to bring a ton of data into the survey without needing to have it in the contact list

Authentication

  • Links the survey results to a contact's record
  • Using contact's "Recipient ID" in a URL parameter
  • Or using an authenticator in the survey
If you are going to bring data from a survey back into the contact list, you will need to authenticate

Data Mapping

  • Pull contact data into a survey via piped text
  • Push survey data to a contact via contact triggers
This allows you to create surveys that are "real-time" for all your stakeholders

Also allows you to update your contact info with new information

Triggers

  • Automated actions setup to occur after a survey is completed
  • Send emails to anyone, including a service
  • Send data to a contact
Triggers actually open a lot of doors when a survey is done

More than just emailing the recipient

Working With Results

excel formulas that will change your life
Seriously, learn these excel tricks - they will make your work with data so much easier..

I have a lot more to share in this space

Cross-referencing lists

  • "Is anyone in this list on that list?"
  • This formula will add a 1 everytime a matching value from one cell is found in a row on another sheet or file
  • =countif(range, criteria)
  • =countif([file]sheet!row, cell)

Merging Data from Multiple Sources

  • "I want to know the GPA of everyone who completed my survey"
  • This formula will return the value in column "x" when the values in column "y" and "z" match
  • =index(x:x,match(y2,z:z,0))
