Step-by-Step with Screenshots

To create a rule, pick an email you want to make a rule for.

Right click on the email. Click Rules. Click Create Rule.

When making the next selections, think carefully about your organization. I’m creating a rule for my UPS shipping notifications. I chose when the conditions of the email’s subject contains UPS Ship Notification. However, I need to delete the tracking number. If I leave the tracking number in, the rule will only work for that one tracking number. In addition to the subject contains selection, I selected sent to me only.

Now decide what you want done when your new email arrives. I want this UPS email to be moved into a folder. I select move the item to folder, and then click select folder.

Click on Select Folder

Click on the Folder

There are several other selections with this step. Do you need an alert or the email marked as read? For my UPS emails, I don't need any of these, and leave them unmarked.

Click Next

Select run this rule now on messages already in the current folder. Then click ok.

Success!

This is just one example of how to create a rule. The easiest way to start utilizing rules is to create a rule for junk mail or to create a rule for an email you would like filed in a specific folder for reference. Then, once these emails are under control, tackle some more advanced options Outlook Rules has to offer.
